The New Online Application Form for VOs Simplifies the Process
Virtual Organisations comes into play when a group of users wants to use Helmholtz Cloud Services. They enable to manage multiple users, hierarchical groups, or non-Helmholtz partners.
Virtual Organisations (VOs) can now be registered via the HIFIS service data management system Plony. Plony provides the VO Application Form for this purpose. This replaces the previous method of submitting VO requests via ticket.
Anyone who is a Helmholtz employee can log in via Helmholtz ID and create a new VO Application. Here, all information required for registering a VO is requested in a structured and bundled way.
Once all the necessary information has been entered and validation has been successful, the VO Application can be sent to HIFIS. Plony then sends an email with all the details to the VO Manager and the HIFIS ticket system. There, the Helmholtz ID experts checks the application and creates the new VO either directly or after clarification of any queries.
With the VO Application Form implemented in Plony, VOs can now be registered in a convenient and structured process. Providing a form and implementing validation has significantly sped up the registration of VOs because both ensures that the VO Application is complete when it is reviewed by HIFIS, unlike an application sent by email. User requests can be processed immediatly.
The implementation of the VO Application Form is the first step toward bringing the processes surrounding the Helmholtz ID online. It is also the starting point for exploiting the potential for automated processing.
